Free Invoice Generator
Fill in your details, add line items, and download a clean PDF invoice in a couple of minutes, right in your browser.
How to create an invoice with this tool
The generator above builds the invoice as you type, so what you see in the preview is what lands in the PDF. A typical invoice takes a few minutes.
- Add your business details. Enter your business name, address, email and phone. Upload a logo if you have one; the image stays on your device.
- Add the client. Type the client’s name or company, billing address and email.
- Check the number and dates. The invoice number fills in automatically. Set the issue date and choose payment terms, and the due date follows.
- Enter line items. One row per product or service, with a quantity and a unit price. Untick the taxable box on lines that should not carry sales tax.
- Apply discount, tax and shipping. Pick a percentage or a dollar discount, enter your tax rate, and add shipping if you charge for it.
- Record any payment already received. If the client paid a deposit, enter it as amount paid so the invoice shows the balance due.
- Add notes and payment instructions. Say how you want to be paid and anything the client should know.
- Pick a design and paper size, then download the PDF or use the Print button.
When the invoice looks right, click “Save as template” so your business details and logo are prefilled next time.
What to put on an invoice
A clear invoice answers every question a client’s bookkeeper might ask before paying. Include:
- Your business details: legal or trading name, address and a way to reach you.
- Client details: the person or company being billed, plus their address if they need it for their records.
- Invoice number: a unique number for each invoice makes it easy to reference payments and find documents later.
- Issue date and due date: both, so there is no doubt about when payment is expected.
- Line items: a short description, quantity, rate and line total for each item.
- Totals: subtotal, discount, tax, shipping and the final amount.
- Payment terms and instructions: how and where to pay.
If you need help phrasing descriptions or want a walk-through of each field, the guide on how to make an invoice covers it step by step.
Payment terms explained
Payment terms tell the client how long they have to pay. The generator offers the most common options:
- Due on receipt means payment is expected as soon as the client gets the invoice. It suits small one-off jobs and retail-style sales.
- Net 7, Net 15, Net 30, Net 60 mean the invoice is due that many days after the issue date. An invoice issued on March 1 with Net 30 terms is due on March 31.
- Custom date lets you set any due date, which is handy when you agreed a specific date with the client.
Shorter terms generally help cash flow, while larger business clients often have their own standard terms. Agree on terms before the work starts so the due date on the invoice is not a surprise.
How the math works
The calculation follows a fixed order so totals are predictable:
- Each line total is quantity times unit price.
- The subtotal is the sum of all line totals.
- The discount is taken off the subtotal.
- Tax is calculated on the discounted amount of the lines marked taxable. Lines marked non-taxable are left out.
- Shipping is added.
- Any amount paid is subtracted to show the balance due.
Worked example
Say you sell two items, both marked taxable, with a 10% discount and an example tax rate of 8%:
- Ceramic mugs: 3 × $40.00 = $120.00
- Gift boxes: 2 × $15.00 = $30.00
- Subtotal: $150.00
- Discount (10%): minus $15.00, leaving $135.00
- Tax (8% of $135.00): $10.80
- Shipping: $12.00 (not taxed in this example)
- Total: $157.80
- Amount paid (deposit): $50.00
- Balance due: $107.80
Sales tax rules, including whether shipping or services are taxable, depend on your state and locality. Check with your state revenue agency or a tax professional before choosing a rate.
Your data stays in your browser
The invoice generator runs entirely on your device. Client names, prices and your logo are never sent to a server; the PDF is created in the browser and saved straight to your downloads. Drafts autosave locally so a closed tab does not cost you your work. Read the privacy page for details.
Because nothing is stored on our side, keep your own copies. Save each PDF to a folder you back up, or attach it to the email you send the client.
Choosing a design
Three designs are available, and all of them contain the same information:
- Classic uses a traditional layout with clear boxes and lines. A safe choice for any client.
- Modern gives your logo and totals more room and uses lighter dividers.
- Compact fits more line items on a page, which is useful for long parts lists.
Choose US Letter for US clients and A4 for most international clients. If you prefer a pre-laid-out starting point, browse the invoice template or other templates. If the client has not agreed on a price yet, start with an estimate in the estimate generator instead.
Frequently asked questions
Is this invoice generator really free?
Yes. You can create, download and print as many invoices as you need without an account or a subscription.
Where is my invoice data stored?
Everything stays in your browser on your device. Drafts, your saved business details and your logo are kept in local browser storage and are not uploaded to our servers.
How are invoice numbers created?
The tool suggests the next number in sequence, such as INV-0001 then INV-0002, and remembers the last one in your browser. You can type over it if you already use a different numbering system.
Is the discount applied before or after tax?
Before tax. The discount, either a percentage or a fixed dollar amount, reduces the subtotal first, and tax is then calculated on the discounted amount of the taxable lines.
Can I invoice in a currency other than US dollars?
Yes. USD is the default, but you can pick another currency from the currency selector before you download the PDF.
What happens if I clear my browser data?
Your drafts, saved template and numbering history are removed along with it. Download a PDF of every invoice you send so you always have your own copy.
